UPSILON CHAPTER COMMITTEES – MEMBERS AND DUTIES
I. Society Business:
A. Nominations:
Members: All Past Presidents. Chairman shall be the Immediate Past President.
Duties:
a. To select candidates from suggestions of member
b. To ascertain that the nominated person will serve if elected
c. To present to chapter, in even numbered years, the choice of the committee of one
candidate for each elected office and two members to serve on the budget and finance
committee for a term of four years.
d. To prepare the ballot
e. Election shall take place at a regular meeting prior to the date of the spring convention
set by the state.
f. Installation may take place after the election prior to July 1. Officers assume positions
July 1 of even years.
g. To file a written report of the election with the Chapter Secretary for future reference
h. Committee shall meet during the summer of the uneven year to begin the selection of a
slate of officers and members for the budget and finance committee.
B. BUDGET AND FINANCE:
Budget and Finance Committee:
Members:
Shall be chapter president (ex-0fficio), chapter treasurer, and two members elected each
Biennium for a staggered four-year term. A total of five members plus the president will
Serve on the board at any given time. Election is to take place at the regular election of officers
In even years. The chairman to be determined by the finance committee.
Duties:
a. To plan and draw up a budget to present at the September meeting.
b. To supervise expenditures and investments of the funds of the chapter
c. To review chapter assessments each year, and recommend chapter dues/assessments
to executive board.
d. To list projects to finance budget
e. To prepare and do annual audit.
Grant-in-aid Committee:
Members: Appointed by president.
Duties:
a. To cooperate with the state committee and assist with raising funds of State and
International Scholarship.
b. To distribute application forms to schools in Eaton County.
c. To investigate applicants & to make recommendations concerning recipients
d. Keep chapter informed of available scholarships as well as follow-up on recipients as
requested.
e. Be in charge of silent auction in December
f. To present Grant -in-aid at a specific meeting
g. To prepare annual report as per instructions by International
Funding Our Purposes Committee:
Members: Appointed by president
Duties:
a. To assist In promoting work of the International committee.
b. To put together a theme basket for the Spring Convention and the Fall Workshop
- donate to silent auction for “Funding Our Purposes”
c. To prepare an annual report as per instructions by International.
C. MEMBERSHIP:
Membership Committee:
Members: Appointed by president
Duties:
a. To help membership seek and locate suitable prospective members
b. To investigate carefully the qualifications of persons whose names have been submitted
and refer to chapter for vote only those names of person who meet qualifications. (See
Yearbook).
c. To present the names and qualifications of candidate at chapter meeting prior to date set for
voting.
d. To conduct balloting at time designated by chapter.
e. To order memberships kits from International.
f. To host orientation “Tea” for prospective members prior to initiation.
g. To assist with orientation of new members.
h. To conduct a Memorial Ceremony at the last meeting of the chapter year as needed
i. To provide follow up of resigned members.
j. To prepare an annual neurology report form provided by International. Keep copy for
future reference.
Initiation Committee:
Members: Appointed by president
Duties:
a. Initiation shall be in accordance with the International Standing Rules. The Program of Work
shall determine date, time and place.
b. To set up initiation according to the ritual: table, banner, coat of arms, key, easel and
other necessary items.
c. Shall have correct number of ribbons and candles.
d. To have correct number of roses and makes them available for ceremony and dinner.
e. To secure music, rituals, proper waiting room for initiates, escorts for initiates (try to
choose close associates) and line formation.
f. To notify all participating persons of their specific duties.
g. To make all arrangements for the smooth performance of the initiation.
Gift Committee:
Members: Appointed by president
Duties:
a. Purchase gifts for those who are deserving ie: for retirement, marriage, birth of a child,
etc. The amount will be determined each biennium by executive board.
b. Purchase card to accompany gift. Gift and gift card to be presented at the discretion of
president.
II PROGRAM OF WORK:
PROFESSIONAL AFFAIRS: (Professional Affairs, Legislation, Personal Growth and Service)
Professional Affairs Committee:
Members: Appointed by president.
Duties:
a. To inform members of legislation pertaining to education and women’s issues.
b. To support state legislative activities.
c. To select and nominate someone or a group worthy of the “State Distinguished Service
Award”. Obtain, complete and return the necessary form by the deadline set by the
State 1committee.
d. To select and nominate a sister worthy of the “State Woman of Distinction Award”.
Obtain, complete and return the necessary form by the deadline set by the State
Committee.
e. To select and nominate a sister worthy of the “Chapter Woman of Distinction Award”.
When the selection has been made, obtain, complete and return the necessary form
By the deadline set by the State Committee.
f. To select non- Delta Kappa Gamma member (s) to receive the “Friend of Education
Award”.
g. To invite the “Friend of Education” recipient(s) to designated chapter meeting to be
acknowledged and honored.
h. To receive “Friend of Education Certificate” from the First Vice-president, send
completed form to the State First Vice-president.
i. To prepare annual report as instructed by International.
Music Committee:
Members: Appointed by president.
Duties:
a. Should try and make music a part of every meeting
b. Provide music when requested to do so.
c. Familiarize members with the words of the official song and other DKG songs.
III COMMUNICATIONS:

Newsletter Committee:

Duties:
a. Designated chapter member shall publish and distribute the chapter News-
letter approximately two weeks prior to each meeting. They will work with the
president in gathering the necessary information.
b. They shall send the required number of Newsletters to the designated state
committee member(s) by the deadline set for each year
Yearbook Committee:

Duties:
a. Designated chapter member shall work with president and vice-president to
update and publish the Yearbook to be distributed annually at the 2ndchapter
meeting in the fall.
b. To send required number of Yearbooks to the State Executive Secretary by
December 1 of each year.
Technology/Webmaster Committee:
Members: Appointed by president
Duties:
a. To put Yearbook on website (as much as possible).
b. To keep website updated.
Contact/ Sunshine Committee:
Members: Appointed by president
Duties:
a. To contact members on individual calling lists.
b. To ascertain whether or not member will attend meeting
c. Compile list of those attending
d. Relay list to chairman of committee.
